1. About this policy
Luxor Recruitment Pty Ltd (ACN 697 169 903 · ABN 48 697 169 903), trading as Luxor Recruitment, is an Australian specialist allied health recruitment agency based in Melbourne, Victoria. We are bound by the Privacy Act 1988 (Cth) and the 13 Australian Privacy Principles (APPs) that sit within it. This policy explains what personal information we handle, why, how we protect it, and the rights you have over it.
2. The personal information we collect
We only collect personal information that is reasonably necessary for our recruitment functions. Depending on whether you contact us as a clinician, an employer or a referrer, that may include:
- Identity and contact details — full name, email, phone, postal address
- Professional information — current and previous roles, CV, qualifications, AHPRA / SPA / ESSA / AASW registration numbers, professional referees
- Compliance documentation — Working with Children Check, National Police Check, right-to-work evidence, immunisation records (where a role requires these)
- Hiring requirements you share with us — role specifications, caseload, organisation, timing, salary expectations
- Records of our correspondence with you, file notes from interviews and reference checks, and any feedback you share with us
We do not knowingly collect personal information from people under 18. We collect sensitive information (as defined in the Privacy Act) only where it is necessary for our recruitment service and where you have given us consent — for example, health information relevant to workplace adjustments.
3. How we collect it
We collect personal information directly from you wherever possible — through forms on our website, phone calls, emails, interviews and reference checks you facilitate. In limited circumstances we may receive information about you from third parties, such as a colleague who refers you, with their confirmation that you are happy to be contacted.
4. How we use it
We use your personal information only to provide and improve our recruitment services. That includes:
- Matching clinicians to suitable permanent roles with Victorian employers
- Submitting your details to prospective employers, with your prior consent in each instance
- Arranging interviews and managing offer negotiations
- Conducting reference checks and verifying registrations and compliance documents
- Supporting placements through onboarding and the first 90 days
- Communicating with you about your engagement with us, and occasionally about market updates or relevant roles
5. Direct marketing & how to opt out
Where we communicate with you about our services or relevant opportunities, we will always include a clear way to unsubscribe. You can opt out of any direct marketing at any time by replying to the email, or by contacting us through the contact page.
6. Who we share information with
We do not sell your personal information. We share it only with parties who have a legitimate need to receive it for your recruitment, and only with your prior, specific consent. That can include:
- Prospective employers (named in advance and only once you agree to be put forward)
- Referees you have nominated
- Third-party screening providers (police check, WWCC, AHPRA verification) where the role requires it
- Professional advisors, where confidentiality applies (e.g. legal, accounting)
- Government agencies or regulators where required by law
7. Overseas service providers
Some of the systems we rely on to run our service are provided by reputable overseas vendors, including hosting and transactional email infrastructure based in the United States. In those cases your personal information may be transferred to and stored in the US. We take reasonable steps to ensure those providers handle your information in a way consistent with the APPs.
8. How we store and protect your information
Your information is stored on access-controlled cloud services protected by encryption in transit and at rest, and by multi-factor authentication on administrative accounts. Internal access is restricted to staff who need it for your recruitment. We take reasonable steps to protect against misuse, interference, loss, and unauthorised access, modification or disclosure.
9. How long we keep it
We keep personal information for as long as it is reasonably needed to provide our service to you, to meet our legal and tax obligations, and to maintain accurate placement records. When information is no longer required for any lawful purpose, we take reasonable steps to delete or de-identify it.
10. Notifiable data breaches
We comply with the Notifiable Data Breaches scheme under Part IIIC of the Privacy Act. If a data breach occurs that is likely to result in serious harm to any individual whose personal information is involved, we will notify those individuals and the Office of the Australian Information Commissioner (OAIC) as required.
11. Your rights — access, correction and deletion
Under APP 12 and APP 13 you have a right to ask for access to, and correction of, the personal information we hold about you. You can also ask us to delete information that we no longer have a lawful basis to keep. Requests can be made through our contact page and we will respond within a reasonable period, usually within 30 days, and at no cost.
